Conference Information

Conference Site

The conference will be held at the five star Hotel Radisson in Kathmandu, Nepal.
The hotel is close to the Royal Palace and within walking distance to the center of the city.

Financial Support

Presently, no financial support can be provided to participants by the conference organization.

Arrival

There is an information desk at the airport. Upon arrival, look for a representative of the hotel. If this has not been arranged or a representative is not there, take a prepaid taxi (look for a booth, the price is about 250 NPR) to your hotel.

Visa Requirements

Citizens of all countries (except India) NEED a visa to Nepal (see Ministry of Home Affairs Web Site for more details). For most nationalities, a tourist visa can be easily obtained at the Kathmandu airport.
The current prices are: 25 USD for 15 days; 40 USD for 30 days; 100 USD for 90 days. The visa is payable in cash.
You need one recent passport-type photo for the visa application. We indeed suggest to take with you a few of these passport-type photos which you may need to get other permits (i.e. permits for multiple entries to some tourist sites, permits for trekking, etc.).
Your passport should be valid at least 6 month after the entry date.

Note, however, that some nationalities do need to follow different procedures (this holds for China, for instance), which require contacting the Nepali consulate in advance, and/or showing a Letter of Invitation when applying for the visa at Kathmandu airport. If you do need such a Letter of Invitation, please contact Prof. Binil Aryal of Tribhuvan University, Kathmandu, at aryalbinil@gmail.com, or another member of the LOC, well in advance of travelling.

Wireless access

The conference area will be covered by wireless internet connection. The Radisson guests will have free access to it, while the conference participants coming from outside will have to pay 6.20 USD for whole duration of the conference if they want to get an access.

Presentations

A projector will be available for your computer presentations. A laptop will be available to upload your talks. Since a large number of local students will be present, and since the workshop covers a relatively broad range of topics, we would like to ask each speaker to include at least one viewgraph to introduce the general topic of their talk.

Sightseeing/Excursions

There will be two sightseeing tours in the afternoons during the conference week. These tours and possible entrance fees are included in the registration fee.

We will also organize a mountain flight which is a flight close to Everest and surrounding mountains, usually the views are spectacular. This will possibly take place during the conference at early morning (around 6 am). The flight is supposed to be so early to allow the participants to come back for the conference talks. The cost will be 200 USD + about 5 USD for the airport transfers (non refundable in case of bad weather). In case of bad weather the flight will be rescheduled or the price refunded.

We are also organizing a couple of trips lasting 2-3 days after the conference:

  • a two days trip to Nagarkot on the Saturday-Sunday (22 - 23 October) after the conference. Nagarkot is one of the best place near Kathmandu to have spectacular views of the Himalayan mountains at sunrise and sunset (if weather allows).
  • a three days trip to the Royal Chitwan National Park on the Saturday-Monday after the conference. The Royal Chitwan National Park is a jungle full of rhinoceros, elephants, tigers, deers, wild dogs, cats, crocodiles, different birds and snakes. You can ride an elephant, go for a canoe trip to watch crocodiles, or walk in the jungle with a guide. The participants will stay in the Tigerland Resort for which the all inclusive accomodation cost per person will be 323 USD for a double room or 458 USD for a single room (please note that the cost has been reduced of about 10% compared to the previously given cost). This includes two nights stay, all meals, the park entrance fee, two elephant jungle rides and one jeep jungle ride.
    The round-trip airfare to Bharatpur is 224 USD per person.

Trekkings

We can organize the trekkings listed below (lasting from 4 to 12 days) which will start the day after the end of the conference for those participants who are interested. Please consider that physical fitness is needed for all trekkings, the maximum reached altitude is shown in brackets.

The price of the trekkings (approximately 700-1200 USD, all included) will depend on the durations, the number of participants and on the means of transport (plane or bus or both).
